YOUR INFORMATION

Privacy notice

How we use personal information when you contact Careergate, apply for work or use our recruitment services.

Last updated: 16 October 2026.

Who is responsible for your information?

Careergate Ltd (company number 17527848) is the controller responsible for the personal information described in this notice. Careergate provides permanent recruitment services across construction, logistics, warehousing, facilities management and operational roles.

Registered office: 27 Old Gloucester Street, London WC1N 3AX, United Kingdom.
Email: info@careergate.co.uk. Please put “Privacy” in the subject line.

This notice covers candidates, prospective candidates, client and prospective client contacts, referees and people who contact or visit our website. Candidates should also read our candidate privacy notice.

What information do we use?

  • Candidates: name, contact details, location, CV, employment history, qualifications, skills, role and salary preferences, availability, right-to-work status, application progress, interview feedback and our communications.
  • Client and prospective client contacts: name, business contact details, employer, job title, hiring needs, communications, agreed terms, introductions, placements and relevant billing records.
  • Referees: name, professional contact details, relationship to a candidate and reference information.
  • Website users: information submitted through forms, uploaded CVs or job specifications, and technical information such as IP address, browser/device information and security signals processed by our website and form providers.

Please keep information relevant to recruitment. Do not include passport copies, National Insurance numbers, bank details, health information or criminal-record information in general enquiry forms or CV uploads. If particular sensitive information is needed, we will explain the purpose and applicable protections before requesting it.

Where does information come from?

Most information comes directly from you through forms, email, telephone calls, documents and recruitment discussions. We may also receive relevant information from a referring person, a prospective employer or a referee.

For business development and recruitment sourcing, we may use publicly available professional information, including company websites, business directories and professional profiles. Public availability does not remove your privacy rights. When we first contact you using information from elsewhere, we will explain where we obtained it and direct you to this notice.

Why do we use it, and on what basis?

  • Recruitment: to understand requirements, discuss suitable permanent roles, assess relevant experience, arrange introductions and interviews, and support offers and placements. We normally rely on legitimate interests: helping people find suitable work and helping employers fill vacancies.
  • Business relationships: to respond to enquiries, discuss hiring requirements, manage client relationships and undertake relevant business development. Our legitimate interests are providing and developing recruitment services and maintaining accurate contact records. You can object to this use.
  • Contracts: where necessary to enter into or carry out a contract with you personally, we rely on the contract basis. A contract with your employer does not automatically make this the basis for using your individual contact details.
  • Administration and protection: to maintain recruitment records, handle complaints, secure our systems, prevent misuse, manage invoices and establish or defend claims. We rely on legitimate interests, or a legal obligation where a specific record or disclosure is required by law.
  • Optional communications: where consent is required for a particular marketing message or optional use, we will ask separately and you can withdraw it. Submitting an enquiry or acknowledging this notice does not sign you up to general marketing.

When relying on legitimate interests, we consider the purpose, whether the information is necessary and the effect on your rights and reasonable expectations. You can ask us about this assessment. We will explain any additional legal condition before intentionally collecting health information or other special-category data, or processing criminal-record information.

Who can receive your information?

Candidate information may be shared with a prospective employer for a relevant vacancy after we have discussed the introduction with the candidate and obtained their permission to send the CV. Employers are responsible for their own subsequent recruitment decisions and processing; you can ask them for their privacy notice.

We use service providers to operate the business:

  • Google: business email, Sheets, Drive and Apps Script for enquiries, recruitment records, documents and our private CRM.
  • Squarespace: website hosting and platform services.
  • Formspree (earlier submissions): previously configured as a backup form provider. That route was discontinued for new website submissions on 16 October 2026. Earlier contact details, messages and attachments may remain there until reviewed under our retention criteria.
  • Google reCAPTCHA: form security and spam prevention, loaded when you choose “Enable spam check”. You can contact us by email instead.
  • Image delivery services: externally hosted images, including Unsplash and Squarespace image hosting, involve your browser sending technical request information to those services.

Information may also be shared where necessary with professional advisers, authorities or other recipients when required by law or to deal with a legal claim. Access within Careergate is limited to people who need the information for their work. We do not sell candidate information.

Providers may also process certain account, technical or security information for their own purposes. Their notices explain that processing: Google, Squarespace, Formspree and Unsplash.

Where is information processed?

Our providers operate internationally. Information may be stored in, or accessed from, countries outside the UK, including the United States. This notice does not mean that all information stays in the UK.

Transfers subject to UK transfer restrictions require a permitted arrangement, such as an applicable UK adequacy regulation or appropriate contractual safeguards. For covered services, Squarespace’s processing terms describe the UK Extension to the EU–US Data Privacy Framework and contractual clauses with the UK Addendum where needed. Google’s processing terms describe adequacy arrangements and contractual protections for covered Workspace services. Google reCAPTCHA and image providers also publish their own privacy and transfer information. These arrangements do not amount to a promise that processing stays in the UK. Contact us for details of the destinations and safeguards relevant to your information, and how to obtain a copy of applicable safeguards.

How long do we keep information?

We decide retention by the purpose of the record, whether there is an ongoing recruitment or business relationship, whether the information is still relevant and accurate, and any applicable legal duty or need to deal with a claim. We do not keep a full CV or contact history indefinitely just because a record exists.

  • Candidate and prospect records: while needed for current recruitment activity or a continuing, relevant relationship. When that purpose ends, we delete or anonymise information unless a separate retention reason applies. You can ask us to stop considering you for future roles or to remove information.
  • Enquiries and communications: for handling the enquiry and necessary follow-up, then only for an identifiable purpose such as a complaint or an applicable record-keeping duty.
  • Agency compliance records: where the Conduct of Employment Agencies and Employment Businesses Regulations apply, required records must generally be kept for at least one year after creation and at least one year after we last provided the relevant work-finding services, whichever ends later. This does not mean every document must be kept for the same period.
  • Contracts, placements and financial records: for the applicable tax/accounting record-keeping requirements and any relevant legal claim period. The period depends on the record and legal obligation.
  • Contact suppression records: we may keep the minimum details needed to honour an objection or opt-out while there remains a risk of contacting you again.

Where deletion is requested, we assess whether any information must be retained and explain relevant exceptions. Retained records are restricted to the purpose that justifies keeping them. Removing information from active systems may not immediately remove copies in provider backups; those copies remain subject to the provider’s deletion cycle and access controls.

Your choices and rights

You can ask for access to your personal information, correction of inaccurate information, erasure, restriction of use and, where applicable, a portable copy. You can object to processing based on legitimate interests. You have an absolute right to object to use of your information for direct marketing. Where we rely on consent, you can withdraw it without affecting earlier lawful use.

These rights have conditions and exceptions. Send requests to info@careergate.co.uk or the registered office address above. We may need proportionate information to confirm your identity. We normally respond within one calendar month, subject to the applicable rules on verification and extensions.

You may complain to the Information Commissioner’s Office (ICO). You can contact us first so we can try to resolve the problem, but this does not prevent you from contacting the ICO.

You choose whether to provide information. If we do not have the contact details, experience or other information reasonably needed for a particular enquiry or role, we may be unable to progress it. We will explain any information that is mandatory for a particular legal check. Candidates are never charged for our recruitment service.

Decisions, security and website storage

Our recruitment service involves human review and discussion. We do not make hiring or rejection decisions solely through automated processing that has legal or similarly significant effects.

We use access restrictions and other reasonable organisational and technical measures to protect recruitment records and documents. No internet service can guarantee complete security. Please contact us promptly if you believe information has been sent to the wrong recipient or accessed improperly.

Our website uses browser storage for jobs you choose to save. Public job listings are loaded without a persistent browser cache. Form security and the Squarespace platform may also involve cookies or similar technologies. See our cookie and browser storage information. Cookie choices and marketing preferences are separate from acknowledging this privacy notice.

Changes to this notice

We will update this page when our services or handling of information change. Where a change materially affects how we use your information, we will bring it to your attention as appropriate.
